Vedaverse is committed to fostering a safe, inclusive, and respectful environment for all students, teachers, staff, and visitors. We encourage open communication and the reporting of any concerns or violations of policies without fear of retaliation.

Purpose

The purpose of this anti-retaliation policy is to ensure that individuals feel empowered to report harassment, discrimination, misconduct, or any other inappropriate behaviour without the fear of adverse consequences. Retaliation against individuals who make such reports or participate in investigations is strictly prohibited.

Retaliation is any form of adverse action taken against a person because they:

  • Reported a policy violation, harassment, discrimination, or misconduct.
  • Participated in or cooperated with an investigation.

Examples of retaliation include, but are not limited to:

  • Termination or dismissal from employment or programmes.
  • Denial of opportunities, promotions, or rewards.
  • Unfair treatment, exclusion, or ostracism.
  • Threats, intimidation, or harassment.
  • Negative performance reviews or grades resulting from the report.

Our Commitment

Vedaverse strictly prohibits retaliation of any kind. We are dedicated to ensuring:

  1. Reports and complaints are handled confidentially and with care.
  2. Individuals who report violations are treated with respect and protected from retaliation.
  3. Any individual found engaging in retaliatory behaviour will face disciplinary action, up to and including termination or expulsion.

Reporting Retaliation

If you believe you have experienced retaliation, you are encouraged to report it immediately. Reports can be made to:

  • School Management
  • Designated HR personnel
  • Any trusted teacher or staff member

All reports will be investigated promptly and thoroughly.

Confidentiality

Vedaverse values the confidentiality of all parties involved in a report or investigation. Information will only be shared on a need-to-know basis to ensure a fair and thorough resolution.


ATTENDANCE POLICY

At Vedaverse, we are committed to maintaining the highest standards of learning and participation during our 200-hour yoga teacher training programme. Attendance is essential to ensure students meet the required learning objectives and achieve Yoga Alliance certification.

Expectations For Attendance

  • Full participation: Students are expected to attend all scheduled sessions, including asana practice, lectures, workshops, and group activities.
  • Commitment: Completing the full 200-hour curriculum is mandatory to receive certification.

Acceptable Reasons For Missed Hours

We understand that unforeseen circumstances may occasionally prevent attendance. Acceptable reasons for missing class include:

  • Personal illness or medical emergencies
  • Family emergencies
  • Religious observances
  • Severe weather or travel delays beyond the student’s control

MISSED HOURS AND MAKE-UP POLICY

1. Maximum allowable missed hours:

  • Students may miss up to 20 hours of the programme. However, these hours must be made up to meet the 200-hour requirement.
  • Missing more than 20 hours may result in disqualification from certification unless prior approval is obtained.

2. Make Up Hours:

The only way to make up hours is by scheduling a private session with the lead trainer or another trainer

Students must coordinate with the programme director to create a make-up plan.

3. Additional fees For Make Up Hours:

  • Private sessions: ₹500 per hour for individualised sessions with a teacher.
  • Workshops: Fees may vary based on workshop content and duration.

Attendance Exceptions

Exceptions to the maximum allowable missed hours may be considered under exceptional circumstances, such as:

  • Extended medical emergencies with proper documentation.
  • Other unforeseen, unavoidable situations approved by the programme director.

Reporting Absences

  • Students must inform the programme director or instructor as soon as possible about an absence.
  • For planned absences, advance notice is required, and a make-up plan must be arranged.

Consequences For Exerssive Absences

Failure to attend sessions or complete make-up hours may result in:

  1. Ineligibility for Yoga Alliance certification.
  2. Additional fees for extra make-up sessions.
  3. Disqualification from the programme in extreme cases.

Tracking Attendance

Vedaverse maintains an attendance log for all students. It is the responsibility of each student to ensure that their attendance record accurately reflects their participation and make-up hours.


GRIEVANCE POLICY

Purpose Statement

Our program is committed to maintaining a safe, inclusive, and respectful environment for all participants. This grievance policy provides clear procedures for reporting, evaluating, and addressing grievances related to policy violations, including misconduct or breaches of our code of conduct. This ensures transparency, fairness, and accountability in handling all concerns.

Reporting A Grievance

We encourage anyone who has been subjected to misconduct or believes that a policy violation has occurred to report the grievance to the designated reviewing body, which may include the ethics committee, human resources department, or school management. Reports must be made by the individual who has personally experienced the alleged misconduct. Third-party reports will not be investigated to ensure fairness and privacy.

Grievance Reports Must Include The Following Information:

  • The full name of the person filing the grievance;
  • Their email address and phone number;
  • The name of the individual(s) against whom the grievance is filed;
  • A detailed description of the alleged policy violation, including specific actions and statements where applicable;
  • The date(s) and location(s) of the alleged violation(s);
  • Names and contact information of any witnesses with first-hand knowledge of the situation; and
  • Any other credible evidence that supports the grievance, such as documents, recordings, or photographs.

Reports must be made in good faith, with information that the reporting party reasonably believes to be accurate. Submissions that are intentionally false or misleading may result in disciplinary action.

Evaluation Of Grievance Reports

All grievances will be evaluated by the reviewing body to ensure a thorough and unbiased review. The reviewing body will:

  • Acknowledge receipt of the grievance within five business days;
  • Request additional information if needed to clarify or substantiate the report;
  • Conduct interviews with relevant parties, including witnesses, to gather first-hand accounts; and
  • Maintain confidentiality throughout the investigation process to protect all involved parties.

Steps will be taken to minimize bias during the evaluation, including ensuring a diverse and impartial team of reviewers. If any member of the reviewing body has a conflict of interest, they will recuse themselves from the investigation.

Actions For Credible Grievance Reports

If the grievance is found to be credible, appropriate actions will be taken based on the severity and nature of the violation. These actions may include, but are not limited to:

  • Formal warnings or reprimands;
  • Mandatory counseling or training;
  • Suspension or removal from the program;
  • Revocation of certifications or qualifications; and
  • Notification to relevant authorities if required by law.

The reviewing body will ensure that any sanctions imposed are fair, reasonable, and proportional to the violation.

Confidentiality And Non-Retalisation

All information shared during the grievance reporting and evaluation process will be treated as confidential. Actions taken in response to grievances will also be kept confidential to protect the privacy of all parties.

Retaliation against individuals who file grievances in good faith or participate in the investigation process is strictly prohibited. Any acts of retaliation will be subject to disciplinary action, up to and including removal from the program.

Fairness And Accountability

We are committed to handling all grievances with integrity and impartiality. This grievance policy is designed to ensure that all concerns are addressed promptly, fairly, and respectfully, fostering trust and accountability within our community.


REFUND POLICY

Payment Terms

Upon receiving an acceptance email, applicants are required to pay a non-refundable deposit of $200 to secure their spot in the training program. This deposit is mandatory and confirms the applicant’s commitment to the program.

The remaining balance can be paid either prior to arrival at the training venue or upon arrival, depending on the applicant’s preference and comfort. Full payment must be completed before the start of the program.

Cancellation And Refund Policy

Withdrawal Before the Program Begins

If an applicant decides not to join the program after paying the $200 deposit but before the program starts, the deposit will not be refunded. However, no additional payments will be required from the applicant.

No Refunds After Program Commencement

Once the program begins, no refunds or credits will be issued under any circumstances. This includes situations where a trainee decides to leave the program voluntarily or is removed due to violations of the code of conduct or other policies.

Program Cancellation

In the unlikely event that the program is canceled by the school before it begins, all payments made by the applicant, including the $200 deposit, will be refunded in full.

Work/Study or Alternate Payment Pathways

If the program offers any work/study options or alternate payment plans, these terms will be outlined and agreed upon prior to enrollment. Failure to fulfill the obligations of such agreements may result in removal from the program, and any payments already made will not be refunded.

Acknowledgment of Terms

Applicants are required to read and acknowledge this refund policy as part of the enrollment process. By submitting the deposit, applicants agree to the terms outlined above. Trainees will be provided with a copy of this refund policy prior to enrollment, and it will also be clearly displayed on our website.


ANIT-HARASSMENT POLICY

At Vedaverse, we are committed to fostering an environment that promotes mutual respect, inclusivity, and safety for all our students, teachers, staff, and visitors. Harassment, discrimination, or any form of misconduct will not be tolerated. This policy outlines our expectations and the measures we take to prevent and address such behaviors.

Harassment Against Members Of A Protected Class

Vedaverse strictly prohibits harassment against any individual based on:

  • Age
  • Gender (including pregnancy, gender identity, or gender expression)
  • Race, ethnicity, or culture
  • National origin or religion
  • Sexual orientation
  • Disability
  • Socioeconomic status
  • Genetic information
  • Any other characteristic protected by law

This applies to all interactions involving teachers, students, staff, independent contractors, and visitors. Harassment includes verbal, physical, or visual conduct that demeans or discriminates against someone based on the above attributes.

Sexual Harassment in the Workplace

Vedaverse maintains a zero-tolerance policy for sexual harassment. Sexual harassment includes unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature when:

  • Submission to such conduct is a condition of employment, enrollment, or participation.
  • Rejection of such conduct impacts employment or learning opportunities.
  • Such conduct interferes with work or creates an intimidating, hostile, or offensive environment.

Examples include:

  • Unwanted physical contact or gestures
  • Offensive comments about appearance or sexual orientation
  • Displaying sexually explicit materials in the studio
  • Unwelcome sexual advances or remarks

Sexual Misconduct

Sexual misconduct is strictly forbidden. This includes, but is not limited to:

  • Unwelcome sexual advances (with or without physical contact)
  • Comments or jokes about someone’s sex life, body, or sexual orientation
  • Displaying sexually suggestive objects or materials
  • Inappropriate or non-consensual physical touch during yoga adjustments
  • Sexual gestures, leering, or suggestive comments
  • Discussions of personal sexual activities

Romantic Relationships Between Teachers and Students

The teacher-student relationship is one of trust, professionalism, and care. Vedaverse prohibits any sexual or romantic interactions between teachers and students during the teacher-student relationship.

  • Such relationships create ethical concerns, exploit vulnerabilities, and harm the trust within the yoga community.
  • Teachers must maintain professional boundaries, ensuring the best interests of the student are always prioritized.

If a teacher feels a romantic relationship is developing with a student, the teacher must:

  • End the teacher-student relationship immediately.
  • Inform and seek guidance from school management.

Even if initiated by the student, the teacher holds responsibility for maintaining professional boundaries and ethical behavior.

Reporting and Addressing Concerns

Vedaverse encourages open communication to address any concerns related to harassment, misconduct, or inappropriate relationships. All reports will be taken seriously and handled confidentially.

  • Students, staff, or visitors may report incidents to school management.
  • Retaliation against individuals who report misconduct is strictly prohibited.

Consequences

Violations of this policy will result in disciplinary action, up to and including termination of employment or expulsion from the program.


CODE OF CONDUCT

Purpose Statement

We are committed to upholding high ethical and professional standards for our yoga teachers and trainees. We believe that it is the responsibility of every teacher to ensure a safe, inclusive, and respectful environment where students can grow physically, mentally, and spiritually. This code of conduct is designed to protect students and trainees and uphold the integrity of the teaching profession.

Attendance Policy

Trainees are expected to attend all scheduled sessions. However, missed hours will be considered excusable under certain circumstances, such as illness, medical emergencies, family emergencies, or religious obligations. Trainees may miss a maximum of 10% of the total training hours. Beyond this limit, they may be required to retake the course or specific modules. Make-up hours are offered to ensure trainees meet the program requirements. These can be completed by attending additional sessions or workshops arranged by the program or through private or small-group sessions with an approved instructor.

Financial Practices

Teachers and trainees will adhere to standard financial and business practices, ensuring transparency and fairness in all transactions. Financial involvement with students or trainees, such as loans, gifts, or business partnerships, is discouraged. Advertisements for the training program must be accurate, fair, and not misleading. Sustainable and environmentally friendly practices will be encouraged in all aspects of the training program.

Professional Growth And Continuing Education

Teachers and trainees are encouraged to continuously improve their skills through workshops, advanced training, and ongoing education. The training program will provide opportunities for professional development, ensuring participants remain current in yoga practices and teaching methodologies.

Teacher Trainee Relationships

Teachers and trainees will maintain professional boundaries to foster a respectful and ethical learning environment. Dual relationships, such as personal, romantic, or financial relationships between teachers and trainees, should be avoided to prevent conflicts of interest or power imbalances. Teachers will respect trainees’ personal, moral, and religious beliefs and avoid imposing their own views. Harassment, exploitation, or abusive behavior is strictly prohibited.

Integrity

Teachers and trainees will uphold honesty, compassion, and transparency in their actions and communication. Teachers will avoid portraying themselves as “enlightened” or spiritually superior, recognizing the shared journey of learning and growth with trainees. Teachers and trainees will dedicate their practice and teaching to selfless service and a higher purpose.

Scope Of Practice

Teachers and trainees will represent their qualifications honestly and provide only the services they are trained and certified to perform. Teachers and trainees will not provide medical advice, diagnose conditions, or suggest treatments. Students with medical concerns will be referred to licensed professionals.

Confidential Information

Teachers and trainees will keep all personal information shared during the program confidential. Discussions about students or trainees will be conducted in secure, non-public environments to maintain privacy.

Inter-Professional Relationships

Teachers and trainees will foster a spirit of collaboration and mutual respect with colleagues and other wellness professionals. Open criticism of other yoga schools, teachers, or practices is discouraged to maintain harmony and professionalism in the yoga community.

Advertising and Public Communications

Teachers and trainees will represent their certifications and affiliations accurately in all public communications. Promotional materials for the training program will be truthful, respectful, and in compliance with legal guidelines.

Yoga Equity

The training program is committed to inclusivity and will welcome all students regardless of age, gender identity, race, religion, physical ability, or background. Teachers will ensure that accommodations and modifications are provided to support diverse needs and abilities.

This Code of Conduct is included in all program materials and is designed to ensure a positive, ethical, and professional environment for yoga teacher training. Trainees are required to read and acknowledge this document upon enrollment in the program.
